The end of the month usually looks the same in every studio: a spreadsheet, a calendar, and an evening spent checking who actually ran how many sessions. With several trainers on different rates, mistakes are easy — and every mistake means an awkward conversation. Compensation models — whatever you agreed on
Every trainer can be paid differently, and that's perfectly normal. The system mirrors the deal you made with each trainer instead of forcing one scheme on the whole studio.
Per-session rate
A fixed amount for every session or class delivered. The simplest model — the trainer knows what each session pays, and you know exactly what an hour of their work costs you.
Percentage commission
A share of the revenue from a session or a client's membership. The trainer earns more by selling at higher prices and keeping clients around — their interests are aligned with yours. Setters get commission on closed sales too.
Hybrid and per-class-type rates
A base rate per session plus a revenue share — or different rates for different class types: one for personal training, another for group classes, another for an EMS session. Set it up once and the system takes care of the rest.
Automatic calculation — based on what actually happened
Pay is calculated from completed sessions, not from the schedule. Cancellations and no-shows never enter the payroll, so you never pay for sessions that didn't happen.
Every completed session = a payroll line
The trainer marks a session as completed and the line instantly lands in their payroll at the right rate. No copying from calendar to spreadsheet — and no sessions someone forgot about.
Adjustments and bonuses
A cover shift, a performance bonus, a deduction — add an adjustment with a description and amount, and the system includes it in the monthly summary. Everything stays in the history, so six months later you know exactly where every zloty came from.
Close the month in a single view
At month's end you see all your trainers on one screen: session counts, calculated amounts, adjustments, total to pay out. Review, close — and the month is settled, instead of hanging in a spreadsheet until the tenth.
Payouts and paperwork
Payroll ends with a payout and paperwork for your accountant. No manual work here either — reports are ready to download and the history stays in the system.
Per-trainer report
Every trainer gets a clear statement: session list, rates, commissions, adjustments and the final amount. No more "my numbers came out different" — both sides are looking at the same data.
Export for your accountant
Export the monthly summary and send it to your accountant as the basis for trainers' invoices or contract settlements. One action instead of pasting amounts from a spreadsheet into an email.
Payroll history as documentation
Every closed month stays in the system: who, when, how many sessions, at what rate. It's a running record of how the working relationship with each trainer actually looks — useful in any conversation about terms, and if questions ever come from outside.
Poland's 2026 labour-inspection reform and working with contract trainers
Since 8 July 2026, an amendment to Poland's National Labour Inspectorate (PIP) Act has been in force (Journal of Laws 2026, item 473). A district labour inspector can now determine by administrative decision — without going to court — that a B2B or civil-law contract is in fact an employment relationship. If your studio works with trainers on contracts, it's worth knowing exactly what changed.
The new procedure: first an order to sign an employment contract or remedy the violations, and only if it's not complied with, an administrative decision. The decision can be appealed to a labour court within one month of delivery.
A transition period runs until 8 July 2027: a business that voluntarily converts a civil-law contract into an employment contract during this time faces no misdemeanour liability for having previously replaced employment with a contract. The amnesty does not, however, cover back social-security (ZUS) contributions or taxes.
Penalties for sham B2B arrangements: fines up to PLN 60,000, rising to PLN 90,000 for repeat violations. The minimum hourly rate on civil-law contracts in 2026 is PLN 31.40 gross.
A payroll record kept in the system — sessions billed from what was actually delivered, different rates per class type, a history of closed months — helps document what your working relationship with a trainer looks like in practice, if you ever need to demonstrate its true nature.
